If you were eligible to attend the 2022 Emerald Extravaganza or previous years, you must qualify as a paid-as Emerald Brand Ambassador a minimum of five times between August 1, 2022, and July 31, 2023, to attend in 2023.

If you have completed your event registration and you are no longer able to attend, please notify the Events Team via email (events@plexusworldwide.com) at your earliest convenience. Please note, the cancellation deadline is Monday, August 7, 2023.

The Fairmont Mayakoba allows a maximum of (2) adults and (2) children under the age of 18 per room, OR 3 adults. There will be no charge for children up to and including the age of 17 years who share with their parents. For each extra adult sharing a room (beyond your 1 guest), you will be charged an additional $71.50 USD per night, which covers the occupancy fee plus the resort fee.  Maximum occupancy is 4 per room, either 3 adults (18 years and older), or 2 adults and 2 children (0-17 years old). 

Please also note that there are several open water lagoons and areas throughout the property which are not fenced off and do not have a barrier. Please keep this in mind if traveling with children.

For Emerald Extravaganza, Plexus Worldwide will be covering your standard room and tax (only)​ along with the resort fee for five (5) nights at the Fairmont Mayakoba.

Check-in is on Friday, September 8, 2023, and check-out is on Wednesday, September 13, 2023. 

Hotel room bed type preference may be requested during registration, but please note this is not guaranteed and is based on hotel availability upon check-in.

*Please note, hotel room reservations for the program dates will be arranged for all qualifiers, after your completed event registration has been received (including your confirmed flight itinerary).

Please make sure every piece of luggage you and your guests bring is tagged with your full name.

• Please contact the Plexus Worldwide Events Team via email at events@plexusworldwide.com if you would like to reserve additional hotel room night(s) outside of the included program dates. *Include: your full name, ambassador ID, preferred check-in, and check-out date details along with your bed type preference. Please also provide the number of adults and the number of children plus the children's ages that will be in your room.  After your request is received by the Events Team, we will provide more information and instructions on booking your pre/post nights.
• Requests for additional hotel room night(s) for pre/post the event will be processed based on the availability of the hotel at the time of submission.
• All qualifiers will be responsible for payment of additional hotel room night(s) outside of the program dates (Program dates are check-in: September 8, 2023, and check-out: September 13, 2023). 
• The hotel will require you to provide credit card information at the time of booking to secure your reservation for the additional night(s). 
• To avoid any penalties, additional room night(s) you book must be canceled at least 7 days before the requested arrival date.  If you do not cancel at least 7 days before your arrival date, your credit card will be charged one night's room plus taxes and fees.
• The current discounted room rate at Fairmont Mayakoba is $279.00 USD per night plus $23.00 USD per person per night which covers housekeeping and bell staff per night inclusive of taxes (based on availability and subject to change).
• If you book an upgraded room pre/post the event program dates, you will need to move to the room you qualified for during the program dates. (Event Program dates are check-in September 8, 2023, and check-out September 13, 2023)
• Currently there are no additional rooms available during program dates.  However, if rooms become available, Plexus will send a communication to all registered qualifiers the week of August 21, 2023.

All registered qualifiers and your guest that attend Emerald Extravaganza 2023, will be provided with roundtrip ground transportation to and from the Cancun International airport (CUN) to the Fairmont Mayakoba Resort.  Note that any additional guests in your party will be charged. Please email events@plexusworldwide.com if you are bringing more than just your guest and we will provide instructions on how to pay for additional passengers outside of you and your guest.

If your flights change after you have registered for the event, (either changed by you or the airline), you must email events@plexusworldwide.com to let us know so that your transportation can be updated accordingly. Failure to advise Events could result in transportation not being provided for you.

There is no transportation allowance since we are providing the transportation.

Transportation is only provided during program dates. You will be responsible for securing and paying for your transportation for pre-program date arrivals and post-program date departures.

The dress code is resort casual. The average temperature for Mayakoba in September can range from mid to upper 80s °F in the daytime and dip into the mid-70s °F for nighttime temperatures. Be sure to check the weather prior to departure! 

Regarding the Closing Party: Wear your most vibrant colors! This party will be both on the beach and in a restaurant. We suggest you wear flat footwear and not high heels.

Can I bring a guest to Emerald Extravaganza?

Ambassadors that qualify for any Plexus Worldwide incentive trip can bring one (1) guest. 

Any guest name changes will need to be submitted by Monday, August 7, 2023

Two (2) Plexus branded name badges will be provided at event registration for the qualifier and one (1) guest (both must be worn throughout the program for entrance into the events). 

Children can travel and stay with you; however, they will not be allowed into Emerald Extravaganza events unless they are registered as your one (1) guest, or you have purchased an additional ticket for them to attend. If you have purchased additional tickets for them to attend the Welcome Reception and Closing Party, their wristbands must be worn throughout the duration of the EE event. (Available for purchase at the end of registering online).

Is a Passport required to travel?

Yes, those traveling from the US, Canada, and Australia require a valid passport.  Passports must also be valid for at least six months after your return home. Each traveler is personally responsible for obtaining a passport. Please use the links below for additional information:

How should I proceed through Customs upon arrival in Cancun?

When you arrive in Cancun and go through Customs, you must wait in line to see a live agent with your passports, and you should not use the machines to check yourself in.  This is a requirement of the hotel and this procedure has been communicated to the Plexus Events Team by our host hotel.

If I cannot attend, will I still receive the swag/gifts items and/or the cash value of the trip?

Qualifiers must be present and check in at the event in order to receive air travel reimbursement, and any swag/gift items handed out at this program. 

How much is my reimbursement allowance for air travel?

Qualifiers are responsible for booking their own flights through an airline or booking agent of their choice.

Emerald Extravaganza qualifiers will receive a reimbursement allowance of up to $1,100 USD per ticket towards a round-trip ticket for the qualifier and one (1) guest ($2,200 USD total). Any additional fees or tickets above the allotted amount will be at the qualifier's expense.

Qualifiers will not be reimbursed the cash value of any reward points/frequent flyer miles used.

A reimbursable round-trip ticket is defined as one (1) round-trip ticket from the qualifier's home city airport to Cancun International Airport (CUN) for the qualifier and one (1) guest.

Where do I submit my air travel for reimbursement?

To be eligible for air travel reimbursement, each qualifier is responsible for uploading their receipts for airfare as specified through the Emerald Extravaganza 2023 registration website. Please ensure the total amount paid is noted on the receipts.

• Please note, all itemized receipts submitted must be in a PDF format or a clear scanned copy of the itemized receipt (i.e. no screenshots or photos of receipts will be accepted). *To convert a confirmation email to a PDF, this may require you to select "PRINT" and then change your print destination to "SAVE AS PDF" depending on your email account. 

How long does it take to be reimbursed for Air Travel?

Please allow 14 to 21 business days from the submission date to receive air travel reimbursements.

• Air travel reimbursements will be added to the qualifier’s account as an adjustment. This amount will reflect in their Virtual Office as “Other Income”.

What are Qualifiers not Reimbursed for?

Qualifiers will not be reimbursed:

• Cash value of reward points/frequent flyer miles used
• Travel packages
• Travel Insurance
• Plexus Worldwide will not be held responsible for any change fees associated with name changes, inclement weather, airline cancellations, travel changes, or global pandemic.
